How to create a Catalog line item?

Creating an Item

Ensure you are on "Item" from the left-hand side of Catalog.

Click on "Create Item" from the left-hand side of your page.

You may notice that some fields have a drop-down selection; see the following types that you can apply to line items:

Type: Labour, Material, Other


Markup Type: Absolute, Percentage


Unit Type: Hour, Each, M2, LM

PC/PS: Prime Cost, Provisional Sum

Zone Configuration

Once you've created your items, you can move on to specifying unit cost, markup, and tax per zone.

Default Configuration: This will be the benchmark for all zones. Use the padlocks to define which fields can be edited by other users when quoting.

An unlocked padlock means this field can be edited by users once the line item is added to a quote/variation.

A locked padlock means this field cannot be edited by users once the line item is added to a quote/variation.

Creating Your Item and Publishing
Once you've completed your item, use the "Create" button in the top right-hand corner of the page.

You will need to assign it to your team.

This saves your line item as a 'Draft'.

When you're ready for the item to be used, you can change the status to "Published" to make the line item available for users to quote.

When making changes, don't forget to hit "Save".

Manage Zone Default

We've added ‘Manage Zone Default’ button to the Catalog app, which opens to a new ‘Zone Defaults Management’ page and allows users to set a percentage for the Markup on each individual zone.

Use this page to set default percentages per zone. These values will override the related zone configuration fields on all Catalog items that have the "Apply zone default" option selected.

Bulk Update Zone Configuration:

Please note that this feature is still in it's 'Beta' stage, and is turned off by default. Should you wish to utilise this feature, regardless of the potential issues that may occur, please reach out to Codafication.

Once turned on, users will notice a ‘Bulk Update Zone Configurations’ button on the Catalog app, which opens to a new ‘Bulk Update Zone Configurations’ modal that allows users to bulk update item zone configuration fields for multiple items at once.

This modal allows users to bulk update the below fields for Catalog Items:

  • Included in Catalog: Yes or No

    • Y: Item/s will be available for use when quoting for the corresponding zones.

    • N: Item/s won’t be available for use when quoting for the corresponding zones.

  • Tax %: Remove Override, or Enter Value

    • Remove Override = Resets the value back to the ‘Default Configuration’ field of the item.

    • Enter Value = Enter numeric value to populate the Tax field in the corresponding items/zones.

  • Markup: Remove Override, or Enter Value

    • Remove Override: Resets the value back to the ‘Default Configuration’ field of the item.

    • Enter Value: Enter numeric value to populate the Markup field in the corresponding items/zones.

  • Apply zone default markup: Yes or No

    • Yes = Item/s will have the zone default markup applied.

    • No = Item/s won’t have the zone default markup applied, and will instead use a custom value.

  • Buy Cost Value - Buy Cost Type: Remove Override, or Enter Value

    • Remove Override: Resets the buy cost value back to the ‘Default Configuration’ field of the item.

    • Enter Value: Enter numeric value to populate the Buy Cost field in the corresponding items/zones.

  • Unit Cost Value - Unit Cost Type: Remove Override, or Enter Value

    • Remove Override: Resets the value back to the ‘Default Configuration’ field of the item.

    • Enter Value: Enter numeric value to populate the Unit Cost field in the corresponding items/zones.

  • Description Lock: Remove Override, Locked, Unlocked

    • Remove Override: Applies the lock/unlock to mirror the default zone of the item

    • Locked: Locks the padlock on the item.

    • Unlocked: Unlocks the padlock on the item.

  • Markup Lock: Remove Override, Locked, Unlocked

    • Remove Override: Applies the lock/unlock to mirror the default zone of the item

    • Locked: Locks the padlock on the item.

    • Unlocked: Unlocks the padlock on the item.

  • Qty Lock: Remove Override, Locked, Unlocked

    • Remove Override: Applies the lock/unlock to mirror the default zone of the item

    • Locked: Locks the padlock item

    • Unlocked: Unlocks the padlock on the item.

  • Buy Lock: Remove Override, Locked, Unlocked

    • Remove Override: Applies the lock/unlock to mirror the default zone of the item

    • Locked: Locks the padlock on the item.

    • Unlocked: Unlocks the padlock on the item.

  • Unit Lock: Remove Override, Locked, Unlocked

    • Remove Override: Applies the lock/unlock to mirror the default zone of the item

    • Locked: Locks the padlock on the item.

    • Unlocked: Unlocks the padlock on the item.

FAQ

Why can't I see my newly created Catalog Items when I search for them on a Quote/Invoice?

  • Usually this means you haven't 'Published' the line item, and it is in a 'Draft' status. You can adjust this in the drop-down menu on the top right of Catalog.
