What is Time Tracking?

Add time tracking records against jobs to reliably track, report and invoice. When enabled, this becomes a new app in your menu.

Crunchworks' in-app time tracking system allows users to add timesheets against their jobs. When enabled, this becomes a new app in the menu, and interacts with Pulse jobs and dashboards.

How can I record time for a job?

Timesheets are stored on the 'Time Tracking' tab of each job in Crunchwork.

  1. Open the Time Tracking tab for your job in Pulse, and select 'New Time Entry'.

  2. Select the 'Allocated' entry type.

  3. Select the team member you'd like to track time for and select a role. Please take care when selecting these, as invoicing rates may change based off activity and role selection, regardless of Team Member.

  4. Fill the rest of the fields as required.

Can I track time spent outside of a job?

You may also create time-tracking records for other activities such as learning or team events via the Time Tracking app.

  1. Open the Time Tracking app from the side menu and select 'Create New Entry'.

  2. Choose the 'Unallocated' entry type.

  3. Fill in the rest of the fields as required.

Marking Entries as 'Billable'

Time records are marked 'billable' by default when a project or job reference is selected, but it may be unselected where needed.

Editing time records

You may edit a time record if:

  • The time record status is still in 'Not Invoiced' status.

  • You have the appropriate permissions to edit the record.

You cannot edit a time record when:

  • The record has been invoiced.

Deleting a record

  • Time records may only be deleted by users who have the appropriate permissions to do so.

  • Upon deleting a time record, you will be asked to provide a reason for deletion.

Export time records

Financial team members may export time tracking data so that they can scheduled for invoicing.

  1. Open the time tracking app, and perform a search using the filters on the left hand side for time records that you wish to schedule for invoicing.

  2. Select the 'actions' button in the top right corner, and select 'CSV Export'

  3. The current list of time records will export.

Auditing Records

You may use the 'Actions' button in the top right corner of the page to export a changelog of the current list of time records. Use the filters on the left hand side of the page to define your list of records if you are looking for something specific.

Invoicing statuses

Update these statuses manually to communicate to other users what stage the time record is in.

Status

Meaning

No Charge

There is no charge required for the record.

Invoiced

The time record has been invoiced.

Not Invoiced

The time record has not been invoiced.

Dashboards

As a user, there are a few ways you can keep track of appointments.

  • List view in the Time tracking app. Use the filters on the left hand side of the page to find appointments based off key job criteria. The search results and total time will be calculated at the top of the page.

  • Dashboards. Each users dashboard has a dashlet dedicated to showing their time records.
