The guide to managing Catalog

Catalog is the easiest and best way to have a single central location for storing and managing your line items, then distributing these for use in the Quotes module.

How Does It Work?

See below what your Catalog home page will look like when you first log in. There's a search panel on the left hand side of the screen, an option to add new items, while the centre pane will be populated with line items once you start creating.

Items

In Catalog, "Items" refers to each individual item in your inventory, and is intended to represent a single line item on your quote. Typical use for items can include materials, or defining a type of labour. For example, the item below is being used to quote the hourly rate for the labour of a plasterer:

Combo

You may group a selection of Catalog items under a header using 'Combos'. This allows you to combine the total cost of items that combine labor and material, but allow the recipient to see the individual cost of each item in the combo.

In the above example, the cost to supply, erect and dismantle scaffolding is highlighted in bold, and below are the tasks and items that make up the total cost.

To build a combo, just use the panel on the left-hand side of the page to switch your view from "Items" to "Combo". We'll highlight the text in white so you can see easily which tab is selected.

Click 'Create combo' to get started.

Once in the combo creation page, you may find existing line items and add them to your combo.

To apply your combo to a quote, use the 'Add catalog items' button and select the category of your combo, then select 'Other' for 'Type'.

The 'Other' type allows you to find combos.

Bundles

In a similar fashion to Combos, you can group common repairs into a "Bundle" for quick application to your quotes. Bundles don't display on the quote as a line item, however, and this is how they differ from combos - a bundle will apply as a Group, with the bulk line items within.

Bundles may include but are not limited to:

  • A set of line items (any category)

  • A set of line items and Combos

  • A set of multiple Combos

Bundles are often useful if you find yourself creating the same quotes repeatedly and just need to have a nice lump set of items to drop into the Quote.

To view your bundles, just use the panel on the left-hand side of the page to switch your view from "Items" to "Bundle". We'll highlight the text in white so you can see easily which tab is selected.
